There are multiple ways your end users can approve sign-in requests via 2SV—by tapping a Security Key, by entering a verification code sent to their phone or, starting today, by approving a prompt like the one below that will pop up on their phone.

Your employees can now choose any of these options in the Sign-in & Security > Signing in to Google > 2-Step Verification section of My Account. The Help Center will be updated with detailed instructions soon; check back here for links to the relevant articles.

Notes:

Currently, you can't have Security Keys and Google prompt enabled at the same time.
A data connection is required to use Google prompt.
Android users will need updated Google Play Services to use Google prompt.
iOS users will need the Google Search app installed on their phone to use Google prompt.

With this latest update, Google Apps admins can now use GADS to sync additional LDAP attributes into Custom User Fields for use with SAML SSO, or for simply building out richer Google Apps profiles for their users.

For example, a SAML application may require an account ID value for SSO access. With this launch, admins can now use GADS to sync an account ID value from LDAP into a custom user field. Then, within the SSO configuration of the SAML app, they can specify to use the account ID from the custom user field.

This latest version of GADS also includes the following bug fixes:

Fixed an issue where user-created groups' permissions were being reset by GADS to the default group permissions settings.
Fixed an issue where the City field was not synced properly and did not display correctly in the contacts interface.
Fixed an issue where group descriptions containing a new line in LDAP would fail when being applied to the Google group.

To save you valuable time and to give you greater control over your employees’ information, we’re now launching the ability to create and delete Google+ profiles for several employees at once.

Simply visit Apps > Additional Google services > Google+ > Profiles in the Admin console, and select all of the users for whom you want to create profiles (or whose profiles you want to delete).

In any profile you create, all information—except the individual’s name, picture, and tagline—will remain private until that user takes action to make it public. It’s important to note that you will not be able create a profile for any user who already has a public Gmail picture or who has uploaded photos to Picasa. Just as is the case today, those users will need to create their own Google+ profiles manually.

If you delete profiles for certain users, some of their content will also be deleted, while some of their content will remain. For more specific details, carefully review the summary of terms that appears in the Admin console before you complete this process.

Google Atmosphere, Google’s global enterprise event series, lands today in Tokyo, where I’m addressing an audience of several thousand enterprise IT execs along with our very own Diane Greene, and local customers such as ASICS and Fujitec. We have two exciting announcements to share; new experiences we’re adding to the Google Apps suite, with Search and Sites.

It’s no secret that the growth of information inside the enterprise continues to accelerate. In fact, today the average knowledge worker spends the equivalent of one full day a week searching for and gathering information.1

Google Springboard puts the right information at your fingertips

Google is no stranger to helping enterprise customers sort through their corporate information and making it more useful for employees. We’ve been a leader in Enterprise Search for nearly 15 years and have partnered with some of the largest companies in the world. As we continue to invest in applying technologies like machine intelligence to power our web search engine, we’re working on a new way to bring all of this power to the enterprise: Google Springboard.

Google Springboard helps you find the right information that you need at the moment that you need it. It searches quickly and easily across all of your information in Google Apps including Gmail, Calendar, Docs, Drive, Contacts and more. Springboard also assists you throughout your workday by proactively providing useful and actionable information and recommendations.

A totally rebuilt Google Sites

Google Sites is one of the most popular products among our enterprise customers, and we’ve been working on an update that makes it even easier for employees to share information within their company.

With the new Google Sites, you can build beautiful, functional pages to aggregate and distribute content across your enterprise, optimized for every screen. A new intuitive drag-and-drop design experience supports real-time collaboration by multiple editors, just like in Docs, and offers easy access to all your content from Calendar, Docs, Drive, Maps and more. The new Sites also includes themes and layouts designed to scale and flex to any screen size, so they’re as useful when you access them on the 30-inch monitor at your desk or your smartphone on your commute.

Additional information for Apps administrators*:

The classic version of Google Sites will remain fully functional for at least one year.
In the future, we will provide options for moving content from classic Google Sites.

This launch adds Google Maps as a new source of information to enrich your existing contact data. Now when you store a phone number that matches an official business number in Google Maps, we’ll list the information you’ve saved, supplemented with business information directly from the listing. This can include business name, address, phone number, website, and photo. These fields will never override information you’ve added manually.

This new Google Maps integration is only available in the Google Contacts preview.

Unlike Gmail SMTP, this change will be rolled out as a gradual change, where it may take longer than 30 days for users to be fully restricted from connecting to Gmail from SSLv3 or RC4 connections; however, we recommend updating your clients soon in order to avoid any potential disruption.

Please note: When given the choice, the vast majority of mail clients already favor modern TLS connections over outdated ones, so the majority of users are not affected by this change.

Action for admins still using SSLv3 or RC4 on IMAP or POP clients:

Most Google Apps customers have already stopped using IMAP or POP clients that connect to mail servers using SSLv3 and RC4. After June 16, 2016, if users attempt to connect to Gmail from mail clients using SSLv3 or RC4, they may see connection errors for short periods of time.
If your mail clients only support SSLv3 and RC4, please update them so that they use recommended TLS configurations. See our announcement from last year in the Google Security Blog to see the recommended standards for TLS clients.

After June 16, 2016, IMAP and POP clients using SSLv3 or RC4 will gradually no longer be able to connect with Google’s mail servers. As a more general reminder, we plan to deprecate SSLv3 and RC4 across all of Google and any other systems relying on these less secure protocols over time. We suggest proactively updating to the recommended standards for TLS clients as a best practice.

This feature simplifies and speeds up the process of navigating long, complicated documents. Today, we’re excited to announce that you can also use the document outline in the Docs app on your iPhone or iPad.

Displayed in a pane at the bottom of the page, this outline features headings for each section of your document, making it simple to quickly jump from place to place. If you haven’t manually applied headings, the feature will intelligently detect the logical divisions within your work. You can then edit or remove those headings as necessary.

This functionality, coupled with the fast scrolling feature launched for the Docs iOS app in April, will make it even easier for you to move through your work in Docs.

For instance, if a user has a picture associated with their account, they’ll see that picture in the Google bar; if they don’t have a picture, they’ll see their initial.

Because these changes have made it easier for account owners to identify the account they’re currently signed into and using, there’s no longer a need to display their name in the Google bar as well. With that in mind, starting today, account owner names will disappear from the space next to the app launcher in the Google bar in any Google apps where they previously appeared.

With that in mind, we are launching Mobile Audit, which audits activities on iOS and Android devices managed by Google Mobile Management. Examples of activities that will be recorded include mobile application changes, operating system updates, and device settings changes.

This will help admins make more informed decisions around which policies to enable and what actions to take. For instance, imagine a user loses their device. Previously, an admin would simply wipe the device. Following this launch, however, the admin can investigate further by checking the device’s audit trail. If he or she observes suspicious activities—like failed attempts to log in to the device or a change in the device’s serial number—he or she can choose to block the device instead of just wiping it.

Admins can visit the Reports page in the Admin console to see all audit events. They can then filter those events by event name, device ID, user name, or date and time. Additionally, admins can set up “alerts,” so they’ll be notified when certain activities take place on their users’ devices.

There was a time when office work used to be all about pushing physical paper. Computing and productivity tools have made things better, but workers still find themselves doing the same tasks over and over across the different apps they use: copying and pasting from a CRM app to a slide presentation, or manually exporting data from a project management app just to turn around and import it back into a spreadsheet. It’s the digital equivalent of pushing paper.

To make it easier to get the job done across multiple apps, without all the copy and paste, we’re announcing three new APIs and a new feature to help workers get to the data they need, when and where they need it.

Build seamless integrations with the new Sheets and Slides APIs

Our new APIs let developers connect their apps—and the data within them—more deeply with Google Sheets and Google Slides.

The new Sheets API gives developers programmatic access to powerful features in the Sheets web and mobile interfaces, including charts and pivot tables. For example, developers can use Sheets as part of a rich workflow that pushes data from their app into Sheets and allows users to collaborate on that data before the updated data is pulled back into the original app, removing altogether the need to copy and paste.

Teams at Anaplan, Asana, Sage, Salesforce, and SAP Anywhere are already building interesting integrations with the new Sheets API. Check out this video to see an overview of what’s possible, as well as several example integrations.

The new Sheets API is available today. Find the developer documentation as well as a codelab to help you get started at developers.google.com/sheets.

Similar to the Sheets API, the new Slides API gives developers programmatic access to create and update presentations. For example, developers can use this API to push data and charts into Slides to create a polished report from source data in other application, ready to present.

Conga, ProsperWorks, SalesforceIQ, and Trello are all building integrations with Slides using the new API. Several examples of what’s possible are in this video.

The Slides API will be launching in the coming months, and these partner integrations will be available soon after. You can sign up for early access to the Slides API at developers.google.com/slides.

Keep your data in sync with the new Classroom API

For developers building tools and workflows for schools, the Classroom API has launched new coursework endpoints to help you build stronger integrations that keep your data in sync. Read the full announcement on the Google for Education blog, here.

Say goodbye to stale data with linked charts

Finally, to make sure we can help keep all this data flowing seamlessly from app to app, users can now also embed linked charts from Sheets into Docs or Slides. The result? Once the underlying data in a spreadsheet changes, whether that change comes from an action taken in another app via the API or a collaborator, an updated chart in the corresponding presentation or document is just one click away.

And we recognize that sometimes you need access to a file you didn’t remember to make available offline. With this launch, we’ll make it easier to open Google Docs, Sheets, and Slides files on your Android and iOS devices when you’re not online.

Starting today, any Docs, Sheets, or Slides files you’ve recently worked on will be automatically synced to your mobile device, so you can open them even if you don’t have an internet connection. As your documents, spreadsheets, and presentations go stale—or if your phone or tablet maxes out on storage space—we’ll remove those older files from your device. To see what documents are saved to your device and to access them later, simply select Offline from the overflow menu in your Docs, Sheets, or Slides app. This will show files synced both automatically and manually (note that manually synced files will now be labeled with a checkmark, instead of a pin icon).

Most organizations on Google Apps have already stopped using SSLv3 and RC4; however, if you are still on these older systems, we recommend reviewing the suggested actions in the Security Blog announcement and updating to modern TLS configurations.
Some common systems that may still be using SSLv3: inbound/outbound gateways, third-party emailers, and systems using SMTP relay.

After this change, servers sending messages via SSLv3 and RC4 will no longer be able to exchange mail with Google’s SMTP servers, and some users using older and insecure mail clients won't be able to send mail.

Newer versions of the sync client offer several performance and security updates. We recommend that you take the following actions as soon as possible:

If you manage your users’ installations, upgrade by following the instructions in the “Install Google Drive for Mac/PC” Google Apps Administrator Help Center article.
If users have installed the client on their own, direct them to the “Install Google Drive for your Mac/PC” Drive Help Center article for end-users.

OS X and Windows users may check what version of the sync client they are using by clicking on the Drive for Mac/PC menu (which appear as three dots) and then clicking About. The dialog that appears will include the version number on it. Users still on versions 1.22 and lower after July 1, 2016 will no longer be able to sync files between Google Drive and local storage using Google Drive for Mac/PC.

In the coming weeks, we’ll also be contacting domain administrators whose users currently use older versions of Google Drive for Mac/PC and provide guidance on the appropriate migration path.

In August 2015 we launched YouTube Settings in Google Apps to give schools and other organizations a way to manage the YouTube experience for users logged in to their domains and on networks they manage. Today we’re happy to announce a number of new features to make these more flexible and easier to use.

Channel whitelisting
Administrators and designated approvers can now whitelist entire channels, not just individual videos. For example, if you want to ensure that all current and future videos uploaded to your organization or school’s channel are watchable by your users, you can now simply add the entire channel to your approved list. Learn how to designate approvers.

Using YouTube settings in Google Apps for Education already gives your users access to all the videos on educational YouTube channels like Veritasium, but now your domain’s video approvers can add other channels as well, like your school’s YouTube channel.

More flexible options for administrators
Administrators have new capabilities to help them manage YouTube to meet the needs of their organization.

Administrators can now choose between two levels of Restricted Mode restrictions -- strict or moderate -- for their logged-in users.

Admins can select between a strict and moderate level of restriction for YouTube.

Network managers can now use an HTTP header to enforce either strict or moderate restricted mode on managed devices.
Network managers can also use this new DNS configuration if they want to enforce moderate restricted mode on wifi networks they manage.
Coming soon, logged-out users on YouTube’s mobile apps on restricted networks will also get a restricted experience.
And since we know this can be tricky to set up, network managers can visit this page to ensure their network restrictions have been configured correctly.

YouTube for Schools
In August we announced that we would no longer be maintaining YouTube for Schools (YT4S). As of July 1, 2016, YT4S will no longer be available. View the YouTube Settings in Google Apps Help Center for additional details.

In August 2015 we launched YouTube Settings in Google Apps to give schools and other organizations a way to manage the YouTube experience for users logged in to their domains and on networks they manage. Today we’re happy to announce a number of new features to make these more flexible and easier to use.

Channel whitelisting
Administrators and designated approvers can now whitelist entire channels, not just individual videos. For example, if you want to ensure that all current and future videos uploaded to your organization or school’s channel are watchable by your users, you can now simply add the entire channel to your approved list. Learn how to designate approvers.

As we indicated several years ago, we are moving away from the OAuth 1.0 protocol in order to focus our support on the current OAuth standard, OAuth 2.0, which increases security and reduces complexity for developers. OAuth 1.0 (3LO)* was shut down on April 20, 2015. During this final phase, we will be shutting down OAuth 1.0 (2LO) on October 20, 2016. The easiest way to migrate to the new standard is to use OAuth 2.0 service accounts with domain-wide delegation.

If the migration for applications using these deprecated protocols is not completed before the deadline, those applications will experience an outage in their ability to connect with Google, possibly including the ability to sign-in, until the migration to a supported protocol occurs. To avoid any interruptions in service for your end-users, it is critical that you work to migrate your application(s) prior to the shutdown date.

With this step, we continue to move away from legacy authentication/authorization protocols, focusing our support on modern open standards that enhance the security of Google accounts and that are generally easier for developers to integrate with. If you have any technical questions about migrating your application, please post them to Stack Overflow under the tag google-oauth.

*3LO stands for 3-legged OAuth: there's an end-user that provides consent. In contrast, 2-legged (2LO) doesn’t involve an end-user and corresponds to enterprise authorization scenarios such as enforcing organization-wide policy control access.

As we indicated several years ago, we are moving away from the OAuth 1.0 protocol in order to focus our support on the current OAuth standard, OAuth 2.0, which increases security and reduces complexity for developers. Today we are extending the capabilities of this plug-in to include Outlook support.

From within Outlook for Windows, you can now:

Insert files using Drive: You can now simultaneously upload any local file to Google Drive and email the link out to the collaborators using Outlook. This is especially useful if your organization uses Google Apps Sync for Microsoft® Outlook or has a setup that uses Outlook with another mail provider.

Key features:

So we have launched an option in the Admin console for domain administrators to have user feedback go not only to Google Feedback servers, but also to a specified set of recipients.

Run remote diagnostics on Chrome devices for meetings
To provide domain administrators with even more tools to view the health of their Chrome devices for meetings, we have also added the ability to remotely run and view device diagnostics directly from the Admin console. These remote diagnostics enable testing devices for connection quality, video bandwidth, resolution, audio capture, and the functioning of protocols such as UDP, TCP, and IPV6. With this launch, we are making it even easier to turn on file sharing in Drive on the web. Just select a file and click on the “Get sharable link” icon on the top right-hand side menu. You’ll then have the option to turn on link sharing with one click on the toggle switch.* The sharing link will then be copied to the clipboard for easy distribution and will provide view access to anyone in your domain who receives the link.

To prevent accidental over-sharing, the user will see an animation when clicking the toggle switch that makes it clear that the permissions are being changed to allow the link to be shared with view access with those who will be receiving it. In addition, there is a confirmation message that appears on the screen, alerting users of the change in permissions, and giving them the option to easily undo it.

Now, we’re pleased to announce that several new improvements have been added at the request of Google Apps users and we’re making it possible for Apps admins to enable the Google Contacts preview for their users from the Admin console.

Getting started with the new Google Contacts preview

This new Admin console setting is off by default, giving admins full flexibility to enable the new Contacts preview on their own schedule. To enable this feature in the Admin console, click on Apps > Google Apps > Contacts> Advanced settings. Once enabled, all users will see the new Google Contacts by default and will have the ability to switch back to the old Google Contacts by using the “Leave the Contacts preview” link from the More section of the left-hand navigation menu.

Key improvements

Easily get rid of duplicates: No one likes having duplicate contacts, but they inevitably crop up. So we’ve rebuilt our “Find duplicates” feature from the ground up to provide a quick and painless way to clean up your duplicates.

Improved Domain Directory: The directory is easier to navigate through a more intuitive and faster “infinite” scroll.

Automatically Updated Contacts: Users can keep their contacts up to date automatically with shared information from the domain directory, Google+ (if enabled), and more. In addition, Google Contacts also now supports high resolution photographs.

Limitations and switching back to the old Contacts

The following features are not yet available in the new Google Contacts:

Reverse Sort: We’ve heard feedback that you want more flexibility in how files are sorted. We’re adding the popular request to allow reverse sorting. Simply tap the sort column at the top of Drive to swap the sort order.
Instantly edit with your favorite apps: If you have an editor app installed on your device, you can now jump into the editor directly from the file preview in Google Drive. To keep your organization’s information safe in these situations, we’re introducing the ability to set an “expiration date” for specific user access to files in Google Drive, Docs, Sheets, and Slides.

For instance, imagine your business hires an outside contractor for a project lasting three months. To complete the job, that contractor needs to view a spreadsheet containing the contact information of your employees. Following this launch, you’ll be able to share your employee list in Sheets with the contractor, give them view access only, and set that access to expire when their contract does (in three months). If the contractor attempts to open the spreadsheet after the expiration date has passed, they’ll be denied access.

This functionality, coupled with the Information Rights Management (IRM) features we launched last July, should significantly increase the security of your organization’s documents and information.

Please note that you’ll only be able to set expiration dates for users with comment or view access; you will not be able to set expiration dates for file owners or users with edit access.

IMPORTANT: This feature will roll out gradually over the course of two to three months; please note that you may not see the feature in your domains until mid- to late Q2 2016.

New features will include:

Trash View: You’ll now have the ability to view, restore and delete items in your trash from within the iOS app.

Folder Colors: You can now view and modify your Google Drive folder colors on the fly.

This launch will also allow you to move through documents on your Android phone or tablet at super speeds. When you begin scrolling on your mobile device, a small navigation handle will automatically appear. Touching that handle will display the entire document’s structure, allowing you quickly skip from section to section, instead of slowly swiping up and down.

To surface an outline in your document, simply click Tools > Document outline in Docs on your computer or select Document outline from the overflow menu on your Android device. Check out the Help Center article below for more details.

There are two ways to send email in Apps Script: MailApp's sendEmail and GmailApp's sendEmail method. One of the differences between these two methods is that the MailApp’s sendEmail method doesn’t require the developer to be a Gmail user. For example, a Google Apps customer who doesn’t use Gmail, but uses Apps Script instead, can send emails through MailApp but not GmailApp.

Starting on September 13, 2016, users with free public Google Accounts (consumers) and Google Apps for Education and Google Apps Free edition users, will be required to have Gmail access to send messages through Apps Script’s Mail Service. Consumers can enable Gmail on their Google account after signing-in—note your Gmail will then become the primary address of your Google account. Administrators of Google Apps domains (Education and Free edition only) can use the Admin console to turn on Gmail for their domain.

This change does not require any updates to your code. You can continue to use MailApp as before; just make sure that you have signed up for Gmail. We realize that sometimes these changes are disruptive to our developers, but we can assure you that we put lot of care and deliberation into this process.
